PERMIT MANAGEMENT
FleetPro tracks every Permit and provides plenty of warning when they are up for renewal. You can easily locate your Permits via truck or trailer, as well as seeing what truck/trailer combinations marry up with which Permits.
FleetPro reads the Permits, then extracts and uploads the details automatically. Renewal warning periods can be customised and set, and over lengths are checked automatically. Our workflow process enables you to see which Permits are in the application process. Attribute sheets and Council approvals can all be stored against the related units. Both current and past Permits are easily located.
IN HOUSE WORKSHOP MANAGEMENT
FleetPro makes it simple to plan and capture work passing through your own workshop or completed in house.
FleetPro’s workshop functionality is an extension of the Work Order process. By flowing from the Work Order, data entry and administration is minimised. Specific workshop functionality includes job cards, inventory, service kits, tracking mechanics hours, parts used, calculating job cost and capturing asset full-service histories.

All Fleet Management Information is kept together and is available over the web any time of day or night. Easy user access – workshop staff, Fleet Management teams and drivers can all have access to FleetPro.
Any fleet documentation, invoices, specifications, permits, or photos can easily be drag and dropped into FleetPro. For complex documents like HPMV permits, FleetPro automatically reads and stores them against the related Trucks and Trailers. Reminder dates for renewals are automatically set in the Fleet’s To Do List.
MAINTENANCE FORECASTING
Schedule the best workshop times. FleetPro forecasts when services are due based on your assets’ usage patterns. This enables you to plan out weeks in advance and to manage maintenance more proactively.
Due dates for maintenance are forecast from an asset’s usage patterns. Time, mileage, hours across multiple meters and sub assets can all be factored into these calculations. If usage patterns change, the service forecast automatically adjusts.
PARTS & INVENTORY MANAGEMENT
The Parts module works in conjunction with the Workshop module. Through the use of service kits, it can forecast the parts required in the future.
The Parts module tracks your inventory. It also has service kits that track what parts are needed for specific services on specific vehicles. By combining the power of service kits with maintenance forecasting, FleetPro can forecast what parts you will need for a set time period and compare that to your stock.
PRE-START INSPECTION
FleetPro Connect facilitates two way communication between the driver and the fleet manager about the status of equipment. It is also seamlessly integrated into our broader Fleet Management system.
We wanted the driver to get the main benefit from using our inspection app (FleetPro Connect). We do this by informing the driver of the steps being taken on the vehicle to rectify issues. Existing faults can also be shared between drivers and drivers can sign off on fixes on the go.
BOOKING ASSISTANT
The Workshop Booking Assistant streamlines the Fleet Management task of making and updating workshop bookings. With a click, it creates a booking. With a few more clicks; it communicates updates and changes.
The FleetPro Booking Assistant invites Workshops and staff to agree to a proposed booking. Should a proposed time not be suitable, the booking assistant helps arrange a new time. It then keeps people informed of what equipment is booked in for service when and where.
ROAD USER CHARGE MANAGEMENT
FleetPro gets the Road User Charge mileage for every vehicle in the fleet from the NZTA. It then compares that against the forecast and actual readings out of the vehicles.
By comparing RUC ticket expiry to vehicle usage trends, FleetPro can give you a good picture of when RUC will expire and how much RUC is required to get a vehicle through the next period. While no substitute for E-RUC, this provides an easy way to manage all the non E-RUCed vehicles in the fleet.
AUTOMATIC CHECKING
Errors can be expensive. It only takes an extra zero entered in the wrong place or for someone to be interrupted while setting up a service schedule or for an hour meter/odometer to stop working for a maintenance or compliance failure to occur.
FleetPro has automated checking built in. FleetPro looks for more than forty common issues that can lead to maintenance and compliance failure. These range from the basic does every piece of equipment have a service schedule? Through to the more complex like; There is an HPMV permit for this unit, is there an overlength permit, and is the RUC type optimal?
MAINTENANCE HISTORY
Drill-down maintenance history, from identification of an issue through to the pdf copy of the invoice. History also includes a full timeline and analysis by cause and component.
FleetPro’s maintenance history is integrated with our Fleet Selection functionality. You can answer questions like; What have we been paying for B Services on Cummins powered Kenworth’s over the last six months? History is also integrated into the work order process both Warranty applicability and time since a component was last worked on are displayed during a work order creation.
ACCOUNTS INTEGRATION
FleetPro automatically reconciles work orders to workshop invoices. Matched invoices can then be passed through our electronic invoice approval process and approved invoices passed onto your accounting system.
The Work Order to Invoice matching process uses our automatic document processing engine to read invoices into FleetPro out of the email. Work orders are based on an assets issue list and service schedule. Transactions can pass from Work order through to the accounts without the need for any data entry.
REPORTING
FleetPro contains a library of reports ranging from mechanic hours through to service forecasting, where relevant reports can be scheduled for automatic distribution by email.
Our automated distribution is designed to meet many requirements, from EDI (electronic data interchange) to simply keeping people informed. It recognises that all the data isn’t always in on the last day of the month and that people like different formats. So not only can you schedule the report, you can select the period covered as well as the format you want to receive the report in.
